A job application email is often the first thing a hiring manager reads, before your resume. A clear, short, well-formatted message makes them want to open your attachments. A rambling or careless one can end up ignored.
This guide gives you an email for a job application example, the correct email format, subject lines, a follow-up email after applying and professional email examples for other moments in your job search. Replace everything in [brackets] with your own details.
A strong job application email has five parts.
| Part | What to do |
|---|---|
| Subject line | Include the job title and your name. Avoid vague subjects such as "Job Application." |
| Greeting | Use the hiring manager's name if you can find it. |
| Body | Keep it short and specific, ideally under 200 words. |
| Attachments | Include your resume, cover letter and anything the posting asks for, clearly named. |
| Signature | Add your full name, phone, email and a LinkedIn or portfolio link. |
If the posting specifies a subject line, use it exactly.
Use a specific name where possible, such as "Dear Ms. Thompson." If you cannot find a name after checking the posting and the company's LinkedIn page, "Dear Hiring Team" or "Dear [Company] Recruitment Team" is a safe fallback. Avoid titles that assume marital status.
If the posting gives you a portal, apply there first. A short email to a recruiter can be a useful extra, but do not skip the official application.
Subject: Application for Junior Data Analyst - Nisha Rao
Dear Ms. Patel,
My name is Nisha Rao, and I am writing to apply for the Junior Data Analyst role at BrightPath Analytics, advertised on LinkedIn on 14 October. I recently graduated with a B.S. in Statistics and have hands-on experience with Python and SQL.
During my internship at CloudMetrics, I built a dashboard that cut weekly reporting time by 15%. I was drawn to BrightPath's focus on making data useful for small businesses, and I would be glad to contribute to that work.
I have attached my resume and cover letter. I would welcome the opportunity to discuss how my skills fit your team.
Thank you for your time and consideration.
Best regards,
Nisha Rao
